Transcription data security

As a transcription service that handles sensitive data on a daily basis, cybersecurity is critical to ensure that client and patient information is protected against unauthorised access or disclosure.

Data security within a transcription service is both a legal requirement and a duty of care to the customers who trust us to handle their sensitive information on a daily basis. Accuro prioritises data security and has implemented technical controls to ensure that we comply with stringent NHS regulations as well as national and international standards protecting the sensitive data we handle.

The NHS and data security

To ensure the safety and privacy of patient information, the NHS has implemented strict regulations for data security. These regulations include adhering to the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), which set out specific requirements for the handling and protection of patient data.

The NHS also uses the Data Security and Protection Toolkit which is an assessment tool that provides assurance that organisations are practising good data security and that personal information is being handled correctly. Accuro has published its Standards Met Data Security and Protection Toolkit assessment which is publicly available by clicking here.

What is Accuro doing for data security?

By following the ISO27001 framework, Accuro can ensure that it has implemented the necessary safeguards to protect client and patient information, such as secure data storage, access controls, data encryption, and disaster recovery plans. Accuro has been accredited by British Assessment Bureau with ISO27001 year-on-year for over a decade now, demonstrating that data security is a top priority when handling data.

Cyber Essentials Plus

In addition to ISO27001 commitments, Accuro is also Cyber Essentials Plus accredited, which is a government-backed scheme that helps organisations protect themselves against common cyber threats such as malware, phishing and hacking.

This accreditation (found here) demonstrates that Accuro has implemented the necessary controls to protect against cyber-attacks and other online threats that could otherwise render patient information unprotected.

Data Security Monitoring

To ensure that Accuro continues to meet data security standards, Accuro regularly audits and monitors data security measures. This includes regular penetration testing, vulnerability assessments, and other security assessments to identify any weaknesses in Accuro’s systems and processes.

Accuro conducts monthly training and awareness sessions for staff and transcribers to ensure that every data processor is aware of their responsibilities and understands their responsibilities in protecting sensitive data.

Secure transcription processes

Industry leading software

Accuro’s industry leading software has been developed with data security as the priority throughout the transcription process.  The software eliminates the use of less secure methods of data transfer such as email and controls who can access data and where it can be downloaded to.

Typing directly into Electronic Patient Records

Typing into electronic patient records (CernerPabauBluespier, etc.) is an essential process that helps to ensure that accurate and up-to-date patient information is available to healthcare professionals.

Commonly, dictation for medical transcription will be accessed through a VPN, and then typed directly into the patient’s electronic record, ensuring no data ever leaves the hospital or practice’s server, adding another layer of security.

Typing through Lexacom integration

Lexacom and Accuro’s unique integration uses encryption to protect data in transit, as well as data stored on both servers. Dictations and completed documents can only be unencrypted when accessed via secure encryption keys built in to Accuro and Lexacom software. This ensures that patient data is protected against unauthorised access or interception.
