Covid-19 has changed the way people work, possibly permanently.  Platforms such as Zoom, Microsoft Teams and Google Meet have been rapidly deployed to facilitate remote meetings between both employees and customers.  In general it has been an overwhelming success, with the Office for National Statistics predicting that 50% of the UK’s working population will be working remotely by the end of 2021

The challenge comes when there is a need to record and document a meeting. Typically before Covid this would have involved minute taking, or an internal member of admin staff would be required to transcribe video to text. Popular meeting platform Zoom does have an in-built transcription solution which uses artificial intelligence to generate a transcript of the conversation. ACAS guidance states that redundancy, grievance and disciplinary meetings are not legally obliged to be taken face to face and can be completed remotely.

However, their code of practice for hearings has not changed and accurate documentation still needs to be kept. We have created a simple guide on how to get started with Zoom or Microsoft Teams transcription:

Step 1: Record your meeting

The Zoom video explains it all; however, you may need a little more help with Teams: 

  • Go to the meeting recording in the chat history and select More options More options button > Open in Microsoft Stream.

  • On the Microsoft Stream portal, select  More options button > Download original video.

Tips and tricks for Zoom meetings or Teams meetings

A quality recording and a good transcriber will produce the best transcript.  We can help with the best transcribers, but how can you improve the audio quality to ensure the transcript is as accurate as possible?

1. Make sure you’re in a quiet place with no background noise.

2. Test your microphone

You should do this every time you use Zoom/Teams.

In Zoom:

  • Click the Settings icon.
  • Click ‘Audio’.
  • Make sure the correct mic is selected and test it, adjusting the volume if necessary. 

In Teams: 

  • Click the Settings icon.
  • Click ‘Devices’.
  • Make sure the correct mic is selected and test it, adjusting the volume if necessary. 

3. Check your internet connection.

4. Try turning off your video. 

  • Go to the meeting recording in the chat history and select More options More options button > Open in Microsoft Stream.

  • On the Microsoft Stream portal, select  More options button > Download original video.

Depending on the device, your Zoom recording will be stored in the following place unless you chose a different folder:

  • Windows: C:\Users\[Username]\Documents\Zoom
  • Mac: /Users/[Username]/Documents/Zoom
  1. Start recording
    Click on ‘Record’ on the right of the bottom bar. 
  2. End call and save your recording
    Click ‘End Meeting’ on the bottom right of the screen. A video and audio recording of your call will be saved. 
  3. Log on to Accuro
    Log in to Accuro or contact us to upload your video or audio from Zoom. 
  4. Upload your file
    Hit the upload button and wait for the file to be uploaded.
  5. Receive your recording back
    Receive a typed and proofread transcript of your Zoom recording.
  1. Start recording
    Click on the options More options button at the top of the screen whilst in a meeting and click ‘start recording’. 
  2. End call and save your recording
    Click on the options More options button at the top of the screen before you end the call and click ‘stop recording’.
  3. Log on to Accuro
    Log in to Accuro or contact us to upload your video or audio from Microsoft Teams. 
  4. Upload your file
    Hit the upload button and wait for the file to be uploaded.
  5. Receive your recording back
    Receive a typed and proofread transcript of your Microsoft Teams recording.

Proofread (speech recognition)

An automated transcription process which converts speech into text with an added edit (professional proofread). This service is suitable for customers who require a grammatically correct, complete document, with all the automated speech-to-text software errors corrected. The document is delivered in block text format which is ideal for internal use but will need reformatting for external use. Speech recognition is an automated transcription process which converts speech into text. This service is suitable for customers requiring a cost-effective and rapid rough draft copy of their voice into text.

‘Front end’ engines, such as Nuance’s Dragon Naturallyspeaking, require users to correct and edit (fix) documents in-app.
